POSITION:                  AAR Billing and Contract Coordinator                                       

DIVISION:                   Rail Transportation

REPORTS TO:           Manager, Rail Freight Revenue

LOCATION:                North Bay       

REFERENCE:            100-90-22



The Association of American Railroads (AAR) Billing and Contract Coordinator provides billing support to Rail for both external and contract customers as well as ensures organizational compliance with AAR rules.  This position ensures that all contract work performed is captured with the scope of work for each individual agreement.


  • Reviews car repairs in Express Yard and invoices external and contract customers accordingly
  • Keeps informed on AAR rules and regulation changes and procedures and provides technical/administrative support on same
  • Responsible for keeping up-to-date on new product information, regulatory changes and practices in other railways, and provides advice on possible implementation at Ontario Northland
  • Ensures billing is in compliance with AAR Rules
  • Ensures billing is carried out in a timely fashion as per Treasury Department guidelines
  • Works with Treasury Department on overdue accounts
  • Handles all car repair exceptions/disputes from external customers and rules accordingly
  • Submits billing for all external contract customers
  • Completes month end reconciliation reports to balance payables and receivables
  • Works in DDCT (Damaged and Defective Car Tracking System) to create electronic defects cards, remove car hires (reports cars on hand), requests and provides home shop car dispositions


  • Post-secondary diploma in Business Administration, Office Administration or related field of study
  • Familiarity with all aspects of equipment maintenance within the rail industry is an asset
  • Computer skills and AS400 training are a definite asset
  • Must be committed to company Health & Safety
  • Must have good interpersonal and leadership skills
  • Must possess excellent organizational and planning skills
